Types of Marching Band Volunteer Opportunities

Chaperones

 

Chaperones play a vital role in ensuring the safety, well-being, and smooth logistics of our band students. Whether it’s guiding them from place to place, providing first aid, or simply being a supportive presence, chaperones help make every band event a success.

As a chaperone, you’ll work closely with the band directors and staff, following guidelines set by Gwinnett County Schools and PRHS. Your main responsibilities will include staying with students at all times, assisting with practical needs, and helping maintain respectful behavior when the band is in public. This allows the directors and staff to focus fully on the music program.

When Are Chaperones Needed?

Chaperones are required for:

  • Band performances and competitions
  • Band camp
  • Extended practice sessions

Who Makes a Great Chaperone?

 

We look for parents or guardians that are available in the afternoon during the summer and early to late evenings during practices or games. Being CPT certified or having any medical training is a plus, but not required.We welcome anyone with a passion for supporting our band.

 

Time Commitment

 

1-2 hr shifts - Practices

4 hours or duration of event - Games/Competitions


Pit crew

 

Pit crew members are the "roadies" for the band, helping move various equipment to and from the field during games & competitions, as well as help setting up props.  At halftime for football games or at competition performances, the pit crew is responsible for quickly moving show gear – audio equipment, some percussion instruments and keyboards, visual props – into position, then quickly removing it after the performance. The pit crew works along side students to achieve this in the allotted time. Pit crew volunteers may also help drive equipment to and from events or help load equipment on and off trailers. Not all of the pit crew work involves heavy lifting. Much of it is pushing equipment on wheels. Students are responsible for a good deal of the work involved in loading and unloading trucks, and putting equipment away in the band room. Pit crew volunteers supervise their work and help ensure no damage to equipment or students.

 

When Are Pit Crews Needed?

Pit Crew volunteers are required for:

Who makes a great Pit Crew volunteer? 

 

Parents/Guardians who like to come to an game or two. Perks - you get to attend the game for free for 30 min of work, and watch the performance up close! 

 

Time Commitment

 

30 min - During half time for games

1-2 hrs - During competition performances 


Visitor Concession Stand Operations

The PRHS Band Booster Association (PRHSBBA) oversees the visitor concession stand during home football games, with all proceeds directly supporting the band program. In addition to visiting team guests, PRHS Marching Band members frequent the stand during the third quarter, along with pre-order pickups for both bands. Volunteers play an essential role in selling food and drinks and preparing and distributing pre-order meals.

 

When are Concession Stand Volunteers needed?

 

Parents/Guardians/Siblings are needed for home games only

 

Time Commitment

We operate in two shifts.

1st shift - 1 hour before the game through half time.

2nd shift - Half time through the end of the game

 

Volunteer Positions for Visitor Concessions:


Runner

  • Responsibilities: Support cashiers by retrieving food and items for customers.
  • Ideal for: Siblings, alumni, or anyone who enjoys a fast-paced, team-oriented role. This position is perfect for individuals who thrive on quick movement and collaboration.

Food Prep

  • Responsibilities:
    • Make nachos as ordered.
    • Pass food from warmers to runners.
    • Wrap grilled items in foil and place them in warmers.
  • Ideal for: Those who prefer to stay in one spot but still want an active, hands-on role. Great for detail-oriented individuals who enjoy working efficiently.

Cashier

  • Responsibilities: Handle orders and payments for guests and students who didn’t pre-order. Use registers to manage cash and card transactions.
  • Ideal for: Friendly, customer-oriented individuals with some experience handling money or working in customer service. This role is fast-paced and requires strong communication skills.

Grill Team

  • Responsibilities:
    • Set up, operate, and clean grills.
    • Cook hamburgers and hot dogs before and during the game.
  • Ideal for: Individuals who enjoy cooking and are comfortable with hands-on work. This is a great fit for those who like being outdoors and working with a small team.

3rd Quarter Pre-Order Meals Team

  • Responsibilities:
    • Organize pre-ordered meals (hot dogs, burgers, or pizza) during halftime.
    • Set up tables outside the concession stand and distribute meals to band students during the third quarter.
  • Ideal for: Volunteers who are organized and efficient. This position is well-suited for those who prefer structured tasks and enjoy interacting with students.

Uniform Volunteer Team

 

Responsibilities:
Uniform volunteers are essential to the professional appearance and functionality of the PRHS Marching Band and Concert Band. Their responsibilities include:

  1. Uniform Management:

    • Measuring students to ensure proper fit.
    • Assigning and distributing uniform pieces.
    • Managing uniform inventory.
    • Coordinating repairs and replacements as needed.
    • Ensuring students are properly dressed and compliant with uniform standards for performances.
  2. Uniform Maintenance:

    • Collecting and taking uniforms home to wash between Friday and Monday, ensuring they are clean and ready for the next event.
    • Managing the process to ensure all uniforms are returned promptly and in excellent condition.

Time Commitment:
Uniform Management - 1 hour Before games to help students get dressed. Also 1 hour after games to collect and bag uniforms for maintenance.

Uniform Maintenance - Washing and returning uniforms requires attention over the weekend between Friday and Monday. Collect the uniforms after the games and drop them off on Monday when you pick up your student from practice.

  • Comfortable working independently or have ESOL needs, as this role allows for minimal face-to-face communication.

Fundraising Volunteer Team

 

Responsibilities:
Fundraising is a cornerstone of how the PRHS Band Booster Association (PRHSBBA) supports the band program. Volunteers play an essential role in helping raise the funds needed to provide exceptional opportunities for our students. Responsibilities may include:

  • Assisting with on-site fundraising events like Taste of the Ridge and restaurant spirit nights.
  • Managing specific fundraising projects, from planning to execution.
  • Promoting and coordinating employer matching grants or other corporate sponsorship opportunities.
  • Helping with remote tasks such as coordinating online campaigns, reaching out to local businesses, or managing donor databases.

Time Commitment:
Fundraising roles are flexible and can be tailored to your availability:

  • On-site event support requires a set time commitment during the activity.
  • Remote tasks can often be completed on your own schedule, making this role an excellent choice for busy individuals or those who cannot attend in-person events.

Social/Banquet Committee

The Social/Banquet Committee organizes key events throughout the year that bring the PRHS Band community together, celebrate achievements, and create lasting memories.

Responsibilities:

  • Rookie Dinner: Held during Rookie Band Camp week, this event welcomes new families to the program. Committee members coordinate dinner, provide information about the band program and booster association, and encourage families to get involved by signing up for volunteer opportunities.
  • Dessert Preview Meeting: Hosted in early fall before the marching season, this event includes a performance by the marching band showcasing their new program. The committee manages the logistics, including desserts and the event setup.
  • Spring Banquet: This May event honors band students with letters, pins, and special recognition, while celebrating graduating seniors. Committee members plan the banquet, coordinate awards, and create a memorable farewell for seniors.
  • Other Events: Support and plan additional social gatherings throughout the year to foster community and camaraderie among students and families.

Time Commitment:
The workload varies depending on the event, with most planning taking place in the weeks leading up to each occasion. Events typically require a few hours for setup, hosting, and cleanup.

Trailer Driver Position

Responsibilities:
Trailer drivers are essential for transporting the PRHS Band’s equipment to away games, competitions, and other off-campus events. Responsibilities include:

  • Using a personal truck to tow the band’s trailer to and from events.
  • Assisting with loading and unloading the trailer, although the majority of this work is done by students under supervision.
  • Ensuring the trailer and its contents are properly secured for safe transit.
  • Coordinating with the pit crew and band staff to ensure timely arrivals and departures.

Time Commitment:

  • Trailer drivers are only needed for away games and competitions.
  • Each event requires a few hours, including travel time and overseeing loading and unloading before and after the event.

Who Makes the Best Volunteers?
This role is ideal for individuals who are:

  • Truck owners with vehicles capable of towing a large trailer.
  • Reliable, punctual, and have prior towing experience or are comfortable driving with a trailer.
  • Willing to assist with light loading and unloading duties while supervising the students who handle most of the heavy lifting.
  • Looking for a way to support the band without an ongoing weekly commitment.

Trailer drivers are vital to the success of the band’s off-campus performances, ensuring equipment is transported efficiently and securely. If you have a truck and want to make a meaningful contribution with a manageable time commitment, this role is a perfect fit!
